Privacy notice

Effective August 7, 2026

DocBilling is a professional billing workspace for authorized Canadian healthcare teams. It processes billing information on behalf of the clinic or organization that provides your account. This notice explains the mobile app’s handling of information; your organization’s privacy policies and agreements also apply.

Current release boundary. DocBilling does not sell personal information, does not use health information for advertising, and does not enable third-party advertising trackers. Ministry submission and health-card validation remain disabled until the organization’s approved private integrations are configured.

Information processed

  • Account identifiers, organization membership, role, provider assignment and security events.
  • Patient display labels and masked identifiers required to select the correct billing record.
  • Encounter facts, billing recommendations, evidence citations, claims, tasks and payment results.
  • If you enable notifications, a device-scoped installation identifier, platform, application/project identifier and push token used only to deliver DocBilling alerts.
  • Technical diagnostics needed for reliability and security. Diagnostic logging is designed to exclude clinical text, credentials and full health-card numbers.

Why it is processed

Information is used to authenticate authorized users, prepare and review billing work, prevent duplicate actions, display official billing evidence, protect tenant boundaries, maintain an audit trail and support the clinic’s billing operations.

Device storage and security

Access tokens remain in memory. Refresh credentials and the installation identifier are stored using operating-system secure storage restricted to the device. The app clears its query cache at session and clinic boundaries, locks when backgrounded, supports biometric re-entry, blocks screenshots where the operating system permits, and does not intentionally persist clinical text for offline use. Notification content is limited to generic billing-attention or security signals and does not include patient or claim details. You can disable notifications in Settings; sign-out also attempts to disable the current registration before clearing local session data.

Disclosure and service providers

Information may be processed by the clinic’s authorized identity, hosting, database, monitoring and integration providers under the clinic’s direction. The mobile app does not contact Ontario Ministry systems directly. Information is not disclosed for behavioural advertising.

Retention, access and correction

The clinic controls business-record retention and access. Local credentials and cached data are removed when you sign out. To request access, correction, account closure or deletion where applicable, contact your clinic administrator or email sales@docsplain.ca. Legal, billing and audit records may need to be retained.
